Role Overview

E-commerce order accuracy, customer care, fulfillment coordination, and daily operations support.

Solera HK Limited is looking for a reliable and detail-oriented Operations Coordinator to support online order processing, customer service, fulfillment coordination, and general office administration.

This is a hands-on role for someone who is organized, careful, professional, and able to work independently. The successful candidate will help ensure customer orders are processed accurately, inquiries are handled properly, and daily office operations run smoothly.

Role Summary

  • Hours: Monday to Friday, 10:00am–7:00pm
  • Work week: 5 days per week
  • Experience: 3–5 years relevant experience; 5+ years preferred
  • Industry: Wine, spirits, beverage retail
  • Employment: Full-time
  • Salary: HK$20,000+ per month, DOE
  • Time to answer: Within 3 days
  • Offer timeline: Within 5 days after final interview

Key Responsibilities

Order Processing & Fulfillment

  • Process online orders accurately and efficiently.
  • Check customer details, product items, quantities, payment status, and delivery information.
  • Prepare orders for delivery, shipment, or customer pickup.
  • Coordinate with delivery partners and internal team members when needed.
  • Maintain organized records of orders, shipments, and customer requests.
  • Follow up on incomplete, unclear, or problematic orders.

Customer Service

  • Respond to customer inquiries by phone, email, WhatsApp, and in person.
  • Assist customers with product information, order status, delivery arrangements, and general requests.
  • Help customers place orders when required.
  • Communicate clearly, politely, and professionally.
  • Handle customer issues responsibly and escalate when necessary.

Office Administration

  • Perform filing, data entry, document organization, and record keeping.
  • Manage office supplies and help keep the office organized.
  • Sort mail, deliveries, invoices, and other office materials.
  • Assist with inventory checking and stock organization when required.
  • Support daily office operations and internal coordination.

Events & Sales Support

  • Assist with preparation for tastings, promotions, and company events.
  • Help prepare products, materials, displays, and supplies.
  • Support event setup and breakdown when required.
  • Represent the company professionally when interacting with customers and guests.
  • Occasional evening or weekend support may be required with advance notice.

Requirements

  • 3–5 years of relevant experience in administration, operations, customer service, retail, e-commerce, logistics, order processing, or a related role. Candidates with 5+ years are preferred.
  • Experience in the wine, spirits, beverage, hospitality, retail, or FMCG industry is a plus.
  • Strong attention to detail and accuracy.
  • Good organization and time management skills.
  • Good communication skills with customers and colleagues.
  • Comfortable using email, spreadsheets, online systems, and basic office software.
  • Able to handle multiple tasks carefully and efficiently.
  • Reliable, punctual, responsible, and professional.
  • Able to work independently with minimal supervision.
  • Able to lift and carry packages when needed.
  • Fluent Cantonese and basic English preferred. Mandarin is a plus.
  • Wine knowledge is not required, but willingness to learn is appreciated.

Recruitment Process

Compensation

Remuneration starts from HK$20,000+ per month, or depends on experience, ability, and suitability for the role.

We are open to paying more for an excellent candidate who demonstrates strong performance, reliability, accuracy, and responsibility.
