About the Role
We are seeking a sharp, highly capable, and proactive Operations & Distribution Assistant to join our growing team. Following our recent expansion into trade distribution alongside our established e-commerce and retail presence, this role has evolved into a vital, dynamic position. We are not looking for a passive task-follower; we need an independent thinker with a high level of operational intelligence who can take full ownership of daily fulfillment, coordinate complex B2B and B2C logistics, and keep our supply chain running flawlessly. Key Responsibilities
Distribution & Logistics Management (Ownership)
- B2B & B2C Order Management: Independently process and oversee trade distribution orders alongside premium online e-commerce sales from receipt to final delivery.
- Supply Chain & Fulfillment: Coordinate and execute physical fulfillment, including picking, packing, and staging heavy/bulk shipments for trade clients, as well as individual courier shipments.
- Inventory Control & Warehousing: Take charge of stock organization, conduct structured physical inventory counts, and proactively identify discrepancies to keep stock levels optimized.
- Financial Integrity: Efficiently process trade and retail payments using our POS/invoicing systems and maintain immaculate shipment, delivery, and transactional records.
Client Relations & Omnichannel Communication
- Trade & Retail Support: Confidently handle inquiries from both retail customers and distribution/trade accounts via phone, email, and in-person, providing professional and accurate information.
- Brand Ambassador: Greet high-profile visitors, suppliers, and clients with an immaculate, sophisticated demeanor.
Event & Promotional Activation
- Event Logistics: Assist in the planning, logistics setup, staffing, and breakdown of exclusive on-site/external events, trade tastings, and promotions.
- Brand Representation: Represent the company with poise and enthusiasm during high-energy trade and consumer events.
Qualifications & Experience
- Proven Track Record: Solid experience in operations, supply chain, distribution logistics, luxury retail, or premium customer service.
- Technical & Analytical Savvy: Proficient with standard productivity tools (spreadsheets, word processing). Direct experience with e-commerce platforms, POS, or inventory management/ERP systems is highly advantageous.
- Communication Excellence: Polished and articulate verbal and written communication skills.
- Physical Capability: Ability to lift, move, and carry heavy packages and wine cases (up to 40 lbs) comfortably in a warehouse/stockroom environment.
- Schedule Flexibility: Willingness to work occasional evenings or weekends to support exclusive tastings and industry events.
- Industry Passion: A genuine interest in—or a strong willingness to learn about—the world of wine is highly desirable.
